1. Payment Registration
1.1 GymSchool Term Training
Enrolling online in a GymSchool programme secures a booking for one term of training. Regardless of attendance, payment is on a per term basis and is due before the start date. For the best experience we suggest making your booking during the school holiday period prior to the term commencing. Parents/caregivers please make sure your child is aware of lunchtime classes and where they need to go for class. We suggest that children who are uncertain if they want to participate in the full term to first try out a casual mid-term session before committing to the full term participation. This can be done by contacting the head coach from your region from week four of the term onwards and booking a casual session if there is availability in the class. We don’t allow casual bookings in weeks 1-3 of the term as we are settling our full term students into their training.
1.2 GymSchool Events:
Enrolling in a GymSchool event secures a booking for the allocated time for that day. Entries close on a specified date, and no late entries or payments are accepted as participation medal orders have already been made. Refunds are provided with a medical certificate for athletes that need to pull out due to injury. Parents/caregivers are responsible for event attendance.
1.3 Programme Length:
Programmes may vary in length depending on location and schools. Our standard class time for regular GymSchool classes is one hour for before and after school programmes and forty-five minutes for lunch time classes. GymSchool Plus classes are an extension of GymSchool standard class with an additional 30 to 45 minutes of training that is continued on from the GymSchool standard programme. Our premier regional hub classes are standalone classes run by the head coach of the region and the class length varies from 90 minutes to two hours in duration.
1.3 Late payment:
If payment and registration has not been made within 48 hours of the session start day the child may not be on our coach register and refused participation, so let’s keep things smooth and make sure registrations are made prior to term commencing. We suggest making your booking during the school holiday period prior to the term commencing.
1.4 Early Drop off’s & Late pick-ups:
Aim to arrive on time and drop off no earlier than 15 minutes before the class starts. If you are running late to pick up please text the coach in charge and let them know. Late pick-ups made later than 15 minutes of class finish time may incur a late payment fee of $20.00.
1.5 Discontinued sessions:
GymSchool reserves the right to discontinue any child for reasons including but not limited to inappropriate behaviour and non-payment of fees.
1.6 Indemnity:
The parent/caregiver agrees to indemnify GymSchool programmes against all costs, whether commissions, legal fees or otherwise, incurred by GymSchool relating to the recovery of any monies, goods or services that may be outstanding from time to time pursuant to the terms of this agreement.
1.7 Program Policies and Procedures:
By booking your child into GymSchool, you are agreeing to all terms and conditions set out in the GymSchool Policies and Procedures Manual which is available in parent log ins.
2 Refunds:
2.1 GymSchool missed sessions:
No refund will be given where session is missed or for early withdrawal from sessions during the term.
2.2 Cancelled sessions:
If a session is cancelled and a make-up session is not available, that equivalent fee will be carried forward and credited to the next term. Please note with special rate sessions make up sessions are not provided as we only guarantee 7 sessions per term instead of the 9 week full term programme.
We do not run classes on public holidays. We do not offer make up classes for classes that are cancelled due to public holidays but if the school term exceeds nine weeks and allows for an additional session we will endeavour to run a nine week term.
3.Child Health & Safety
3.1 Medical Information:
For your child’s well-being, keep us in the loop about any medical conditions or other conditions that may affect your Childs ability to participate in a class setting during online enrolment process.
3.2 Venue Responsibility:
We’ve got your child during programme hours, but outside of that, the ‘Drop Off/Pickup of Children’ Policies & Procedures apply.
For after school classes parents need to sign their Child out before leaving the class.
3.3 Health and Safety Emergencies:
In emergencies, we’ll do our best to reach you. If we can’t, trust us to act responsibly for your child’s care.
3.4 Parent/Caregiver Responsibilities:
You’re the hero!
- Be ready to pick up your child if they’re unwell or pose a safety risk.
- Please be on time for class, as warm up is an important part of keeping and staying safe.
- Parents spectating classes during lunch time classes are to sign in at the school office
- Sibling watching classes should be kept from playing on equipment and remain in the spectating zone allocated for the class.
- Children must wear appropriate attire. No jewellery that may catch and cause injury, exceptions: medical ID tags/bracelets. Long hair should be tied back away from their face with clothing appropriate for sport. Bike shorts or leggings and a baggy T shirts tucked into shorts; baggy shorts should be doubled layered with bike shorts.
3.5 Sport injury and illness:
Please advise the coach if your child is on medication. Children on medication may affect their co-ordination skills should not be allowed to attend classes. Injured students are expected to gain an assessment of injury from a sports doctor.
4.Privacy and copyright:
4.1 Advertising:
GymSchool will occasionally take video/photograph at sessions and may use video footage or pictures for promotional or training purposes. You agree to your child’s image/s being used, unless written notification to the contrary is provided at enrolment.
4.2 Personal details:
GymSchool will not share your details with any third party without your written consent, except as noted in our privacy policy.
4.3 Copyright:
Children/Parents/Caregivers undertake not to make copies of any gymSchool material, and/or use our intellectual property rights and content unless authorized to do so by GymSchool Director in writing.
5.General:
5.1 I consent to my child participating in/attending GymSchool programmes.
5.2 GymSchool asks that you don’t bring valuable items to classes as we accept no responsibility for any loss or damage to children’s property while in our programs.
